How we handle
your information
How GEM Information Systems collects and processes the personal information submitted through the enquiry form on this site, under the Protection of Personal Information Act, 2013 (POPIA).
This notice explains how GEM Information Systems (Pty) Ltd, trading as GEMIS® Studio (“we”, “us”), collects and processes personal information submitted through the enquiry form on this site, in terms of the Protection of Personal Information Act, 2013 (POPIA).
What we collect
When you submit an enquiry we collect the information you provide: your name, work email address, company name, the service you are interested in, your indicative budget band, and your message. We do not collect any special personal information.
Why we collect it
We process this information for one purpose: to respond to your enquiry and, where you engage us, to administer that engagement. We do not sell, rent or share your information with third parties for marketing. We will not add you to a mailing list without your separate, explicit consent.
Consent
The enquiry form asks for your explicit consent before submission. Your consent is recorded with your enquiry. You may withdraw it at any time by writing to info@gemis.co.za, and we will delete your information unless we are required to retain it for a live engagement or by law.
Where it goes
Enquiries are delivered to a monitored GEMIS mailbox. They are not delivered to personal addresses. Access is limited to the people who need it to respond to you.
How long we keep it
Enquiries that do not lead to an engagement are deleted within twelve months of the last contact. Records connected to an engagement are retained for the period required by tax and company law.
Your rights
Under POPIA you may request access to, correction of, or deletion of your personal information, and you may object to processing or lodge a complaint with the Information Regulator (South Africa). Contact us first at info@gemis.co.za and we will respond within a reasonable time.
Terms of engagement
Terms governing engagements — scope, payment, intellectual property and support — are issued with each proposal. This page will link to the standard terms once approved for publication.
