Moving off spreadsheets: what to bring to your ManaGEM take-on

The three lists that matter, how to tidy them before you start, and what happens to them once they are in.

Most businesses that start on ManaGEM are not starting from nothing. They have a customer list in Excel, a price list that someone keeps up to date, and a set of jobs that are already under way. The take-on is about bringing those in once, cleanly, so the team can run the next job in ManaGEM instead of in three places.

The three lists that matter

Your customers. Names, contact people, phone numbers, email addresses and sites. If you keep a customer account code in Sage or Xero, include it, because it is what ties the two systems together.

Your price list. Products and services with a cost price and a selling price. ManaGEM quotes from this list, so the cost behind every line is visible when a quote is built. Products can also be synced from Sage or Xero instead of imported.

Your open jobs. The work that is quoted, booked or in progress today. Closed jobs can stay where they are; what you need in ManaGEM is what you will invoice next.

Tidy before you send

  • Remove duplicate customers, or at least mark them. Two spellings of the same company become two customers.
  • Keep one product per row, with its own code. Variations and kits can be set up once the base products are in.
  • Put cost and selling price in separate columns, without currency symbols or notes in the same cell.
  • Decide a cut-off for open jobs, for example everything not yet invoiced in full.

Excel and CSV both work. The files do not need to match a template.

What happens next

The take-on is AI-assisted: columns, products and prices are matched to where they belong in ManaGEM. Anything the matching is not sure about is flagged for a person to decide rather than guessed, and nothing goes live until you and the ManaGEM team have reviewed it together.

From there, the first real test is simple: log your next enquiry in ManaGEM, quote it from the price list, and follow it through to the invoice.
